The Senior Administrative Assistant is responsible for providing excellent support to both internal and external contacts on behalf of Optum. This individual will sit at the Optum executive level entrance desk on the 11th floor of the building and will provide outstanding service for those entering or checking in. This role offers an exciting opportunity to work at a fast pace while working as part of a team of facility and administrative professionals. Primary responsibilities include meeting and greeting guests, collaborating with site security and associates to validate visitors and direct them within the site, coordinating with mail, delivery and catering services to receive and route deliveries, using technical skills to schedule meeting rooms and WebEx conference, assist with large-scale events and planning, provide administrative support before and during senior leader meetings, validate parking, add visitors to security list, administer badges and onboard new associates.  
Primary Responsibilities:
  • Work in a professional and focused manner to schedule internal and external meetings
  • Ensure materials are prepared and distributed prior to meetings
  • Administer correspondence, manage incoming calls, and prioritize phone messages, emails and mail.  Handle all calls and visitors with professionalism, ensuring a professional, responsive and effective experience for customers, key relationship partners and internal stakeholders
  • Prepare for meetings including location, meetings agendas / itineraries, scheduling teleconference services (including WebEx); ordering meals (if required)
  • Maintain confidentiality and use a high degree of discretion
  • Greet visitors and provide them with an outstanding experience
  • Onboarding and off boarding responsibilities
  • Organize and maintain files
  • Represent senior management and Optum at appropriate levels both internally / externally

  • Ability to perform varied tasks to support executive requiring professionalism, judgment in problem solving and knowledge of policies, processes and procedures

Required Qualifications:
  • Experience working in an administrative capacity
  • Experience working successfully as a collaborative team player
  • Experience successfully working in a fast pace, complex environment
  • Experience using technology and comfort/ability for learning new technology
  • Experience using Microsoft Office Outlook for calendar management and meeting scheduling
  • Experience using Microsoft Office Excel
  • Experience using Microsoft Office PowerPoint
  • Experience using Microsoft Office Word to create and edit documents from scratch
  • Experience using WebEx to create, set up, and run virtual meetings and teleconferences
  • Experience coordinating large meetings and conferences for senior leadership
  • Ability to work in the Fenway office in downtown Boston, MA, hours are 7:30am – 3:30pm
Preferred Qualifications:
  • Experience working within a medium to large size company
